The Guest Relations is responsible for delivering a high level of personalized hospitality to all guests, ensuring their experience reflects the brand’s premium beach club standards. This role involves managing guest interactions from arrival to departure, handling reservations and special requests, coordinating with internal teams for seamless service delivery, and resolving any concerns with professionalism and care. The Guest Relations plays a pivotal role in enhancing guest satisfaction, supporting operational efficiency, and contributing to the overall ambiance and reputation of the venue.
Key Responsibilities
Guest Experience Personalization
- Greeting guests with warmth and professionalism, ensuring a seamless welcome and seating experience.
- Provide personalized service by recognizing repeat guests and remembering preferences.
- Anticipate guest needs and proactively offer assistance, recommendations, or special touches.
- Handle guest feedback and complaints with empathy, discretion, and swift resolution.
VIP Event Coordination
- Prepare for VIP arrivals by coordinating with service, kitchen, and bar teams to ensure tailored experiences.
- Liaise with the events team for guest-related activations, private bookings, and celebrations.
- Ensure all special occasions (birthdays, anniversaries, proposals) are executed flawlessly.
Reservations Guest Flow Management
- Manage reservations and walk-ins using the venue’s booking system.
- Monitor guest flow and assist in managing waitlists during peak hours.
- Communicate effectively with the host/hostess team to optimize seating and guest turnover.
Communication Liaison
- Serve as the primary point of contact for guest inquiries and requests.
- Coordinate with the kitchen and bar to ensure timely and accurate service delivery.
- Support marketing initiatives by promoting events, offers, and experiences to guests.
Reporting Feedback
- Maintain detailed logs of guest feedback, complaints, and resolutions.
- Provide weekly reports on guest satisfaction, trends, and areas for improvement.
- Assist in implementing service recovery strategies and follow-up communications.
Operational Support
- Participate in daily briefings with insights on guest profiles, expected VIPs, and service notes.
- Support the host team during busy periods and assist with floor operations when needed.
- Ensure the ambiance, cleanliness, and guest touchpoints meet brand standards.
Qualifications
Qualifications Skills
- Minimum 3–5 years of experience in a hostess or guest relations role, with at least 1 year in a supervisory capacity.
- Strong leadership and team management skills.
- Excellent communication and interpersonal abilities.
- Proficiency in reservation systems and guest service etiquette.
- Professional appearance and grooming.
- Ability to multitask and remain calm under pressure.
- Flexibility to work shifts, weekends, and holidays.
- Experience in hospitality settings is a strong advantage.
Additional Information
Physical Requirement
- Ability to stand and walk for extended periods.
- Perform physical tasks such as bending, reaching, and moving between indoor and outdoor areas.
- Manual dexterity to handle menus, reservation tools, and guest items.
- Able to work in both indoor and outdoor environments and tolerate mimimum exposure to heat and sun.
