ABOUT THE ROLE

This is the kind of role where your day flies by. As our Catering Operations Coordinator, you sit at the centre of everything – you are the critical link between our clients and our kitchen. Every enquiry, every quote, every confirmed booking flows through you. You'll be the first voice clients hear and the last check before an order reaches the kitchen, serving some of Brisbane's leading corporate clients.

This is not a role for someone who just takes messages. You'll be making real decisions — assessing what the kitchen can deliver, what a client actually needs, and how to get the best outcome for both. It requires a sharp eye for detail, the confidence to act quickly under pressure, and the strategic thinking to balance client expectations with operational reality.

You won't meet clients in person, but you are absolutely the heart of those relationships. Your communication – on the phone and across a high-volume inbox – is what keeps our corporate clients coming back.

WHAT YOU'LL DO

▸   Answer all inbound phone and email enquiries promptly and professionally

▸   Prepare accurate catering quotes tailored to each client's needs

▸   Convert enquiries into confirmed bookings and manage the order through to dispatch

▸   Build strong relationships with our corporate client base through exceptional service

▸   Manage a high volume of daily emails – responding, following up, and keeping records up to date

▸   Act as the central point of contact between clients and the kitchen – translating client needs into clear, accurate kitchen briefs

▸   Liaise closely with the kitchen team on capacity, stock availability, and production timelines before confirming orders

▸   Make informed, confident decisions when managing last-minute requests, menu adjustments, or capacity constraints

▸   Handle last-minute requests and changes with a calm, solutions-focused approach

▸   Ensure all client notes, dietary requirements, and delivery details are accurately recorded and communicated – zero room for error

▸   Support the team with general coordination and administration as required

WHO YOU ARE

You are a natural communicator who thinks a step ahead. You enjoy talking to people, solving problems, and making the right call – especially when things get busy. You understand that in this role, a missed detail or a slow decision can have a real impact, and you take that seriously.

▸   A strong written communicator who manages a high-volume inbox with accuracy and efficiency

▸   Exceptionally detail-oriented – you double-check, you follow through, and things don't fall through the cracks on your watch

▸   A strategic thinker who understands the bigger picture and makes decisions that work for both the client and the kitchen

▸   Calm and decisive under pressure – you don't freeze when it gets busy, you problem-solve

▸   Experienced in a customer service, sales support, or client coordination role (preferred)

▸   Comfortable working at pace in a high-volume, deadline-driven environment

▸   A strong team connector – you keep the kitchen, dispatch, and clients all on the same page

▸   Food, hospitality, or catering industry experience is a bonus – but not essential
