About The Role

The Workplace Experience Coordinator is responsible for creating a workplace where our Vietnam team can do their best work. This role oversees the day-to-day operations of the Vietnam office, ensuring it is organised, welcoming, and runs smoothly, while also helping deliver an exceptional employee experience.

Working closely with both the Operations and People & Culture teams, you'll play an important role in bringing our culture to life through employee engagement initiatives, wellbeing programs, onboarding, internal events, and workplace experiences that foster connection and collaboration.

You'll also partner with Workplace Experience teams across our global offices to ensure a consistent employee experience while tailoring initiatives to the unique needs of our Vietnam team. This is an ideal opportunity for someone who enjoys balancing operational excellence with creating meaningful experiences for people.

Key Responsibilities

Workplace Operations

  • Manage the day-to-day operations of the Vietnam office, ensuring the workplace is organised, functional, welcoming, and maintained to a high standard.
  • Coordinate office administration, including workplace supplies, facilities, meeting rooms, office equipment, vendors, and general office upkeep.
  • Act as the primary workplace contact for the Vietnam office, responding to day-to-day office and facilities enquiries.
  • Coordinate office maintenance, repairs, and supplier relationships to ensure a safe and efficient working environment.
  • Support leadership visits and visiting team members by coordinating local office logistics and hospitality.

Employee Experience & Culture

  • Partner with the People & Culture team to deliver employee engagement initiatives, wellbeing programs, celebrations, cultural initiatives, workshops, and internal events.
  • Coordinate the local delivery of company-wide employee experience initiatives, adapting activities where appropriate for the Vietnam office.
  • Plan and deliver office events, team celebrations, recognition activities, social events, and workplace rituals that strengthen culture and connection.
  • Gather feedback from employees and recommend improvements to continuously enhance the workplace experience.

Onboarding & Team Support

  • Coordinate workplace onboarding for new team members, including workspace setup, welcome arrangements, first-day coordination, and office orientation.
  • Help create a positive first-day experience for new employees by ensuring everything is prepared ahead of their arrival.
  • Support employees throughout their lifecycle by assisting with workplace-related initiatives and activities.

Event & Project Coordination

  • Coordinate the end-to-end logistics for internal events and workplace initiatives, including scheduling, communications, catering, venue setup, vendor management, budget tracking, and post-event evaluation.
  • Maintain the Vietnam workplace calendar, ensuring office events, cultural celebrations, employee activities, and company initiatives are effectively planned and communicated.
  • Support cross-functional workplace projects and continuous improvement initiatives as required.

Global Collaboration

  • Work closely with Workplace Experience teams across our global offices to ensure a consistent, high-quality employee experience while maintaining local relevance.
  • Share ideas, best practices, and feedback to continually improve workplace experience across the organisation.

What You'll Bring

  • 2- 4 years' experience in Workplace Experience, Office Management, Office Administration, Operations, Hospitality, Events, People & Culture, or a similar coordination role.
  • Excellent organisational skills with the ability to manage multiple priorities and work independently.
  • A proactive, hands-on approach with strong attention to detail and a willingness to jump in wherever needed.
  • Exceptional communication and interpersonal skills, with the ability to build positive relationships across all levels of the business.
  • Strong planning and coordination skills, with experience managing projects, events, or workplace initiatives from concept through to execution.
  • Confidence working with external vendors, suppliers, and service providers.
  • A genuine passion for creating exceptional employee and workplace experiences.
  • Strong problem-solving skills and the ability to adapt in a fast-paced, high-growth environment.
  • Proficiency with Microsoft Office or Google Workspace, with the ability to quickly learn new systems and technology.
  • Fluent Vietnamese and professional English communication skills, both written and verbal.

  • Previous experience working in a technology, fintech, startup, or other high-growth environment.
  • Experience coordinating workplace events, celebrations, or internal programs.
  • Experience supporting regional or global teams across multiple office locations.
  • Familiarity with workplace health and safety, facilities management, or office operations.
