Job Description: Senior Manager / Manager – Facilities & Operations

Job Purpose

The Facilities and Operations Manager will be responsible for overseeing the daily operational activities, infrastructure maintenance, and vendor management across the campus. The ideal candidate will ensure a safe, efficient, and well-maintained environment for students, faculty, staff, and visitors, while optimizing operational costs and maintaining compliance with statutory regulations.

Key Responsibilities

1. Facility Management & Maintenance

  • Oversee the upkeep of campus buildings, grounds, utilities, and infrastructure (HVAC, electrical, plumbing, STP/WTP, and fire-fighting systems).
  • Implement and manage a Preventive Maintenance (PPM) schedule for all critical equipment to minimize downtime.
  • Manage space allocation, office layouts, and campus asset tracking.

2. Vendor & Contract Management

  • Source, negotiate, and manage contracts with third-party vendors for housekeeping, security, cafeteria, MEP maintenance, and waste management.
  • Monitor vendor performance through Service Level Agreements (SLAs) and Key Performance Indicators (KPIs).
  • Review and verify vendor invoices, tracking expenses against the approved budget.

3. Daily Operations & Event Logistics

  • Supervise daily housekeeping and cafeteria operations to ensure high standards of hygiene, cleanliness, and hospitality.
  • Coordinate logistical support, seating arrangements, and audio-visual setups for university events, seminars, and examinations.
  • Manage campus transport fleets or outsourced commute services for staff and students (if applicable).

4. Safety, Security & Compliance

  • Ensure full compliance with local municipal, environmental, health, and safety laws and regulations.
  • Oversee campus security operations, access control systems, and CCTV monitoring to maintain a secure environment.
  • Lead emergency response planning, fire drills, and safety audits.

5. Budgeting & Sustainability

  • Assist leadership in preparing the annual operations and capital expenditure (CAPEX/OPEX) budgets.
  • Identify opportunities for energy conservation, waste reduction, and sustainable campus initiatives.

Key Performance Indicators (KPIs)

  • Asset Uptime: Maintenance of critical utility infrastructure with minimal disruption.
  • Turnaround Time (TAT): Swift resolution of daily facility complaints from faculty and students.
  • Budget Adherence: Managing operations within the allocated quarterly/annual budget.
  • Vendor Compliance: High audit scores for housekeeping, catering, and security vendors.

Qualifications & Experience

  • Education: Bachelor’s degree in Engineering (Mechanical/Electrical/Civil), Hotel Management, Business Administration, or a related field. Professional certifications (e.g., IFMA, NEBOSH) are a plus.
  • Experience: 8 to 15 years of experience in managing facilities and operations, preferably within a reputed university campus, tech park, or large corporate office.
