Position Overview

TEDxMaitama is seeking an experienced, highly organized, and results-driven Senior Event Manager to lead the planning and execution of our conferences, salons, webinars, partner events, and community engagements.

The ideal candidate will be responsible for transforming strategic event objectives into exceptional experiences for attendees, speakers, sponsors, partners, and stakeholders. This role requires strong project management skills, stakeholder engagement capabilities, attention to detail, leadership experience, and the ability to thrive in fast-paced environments.

The Senior Event Manager will play a critical role in delivering TEDxMaitama's vision of building one of Africa's most influential platforms for ideas worth spreading.

Key Responsibilities

Event Strategy & Planning

  • Lead end-to-end planning and execution of TEDxMaitama conferences, salons, workshops, webinars, and special events.
  • Develop comprehensive event timelines, work plans, and execution frameworks.
  • Coordinate event budgets and monitor expenditure against approved budgets.
  • Create and maintain event risk management and contingency plans.
  • Ensure all event activities align with TEDx guidelines and TEDxMaitama standards.

Event Operations & Logistics

  • Manage venue selection, setup, technical requirements, branding, registration systems, and attendee flow.
  • Coordinate audiovisual production, staging, lighting, livestreaming, and recording requirements.
  • Oversee event registration, ticketing, guest management, and accreditation processes.
  • Ensure all logistical elements are delivered on time and within budget.
  • Manage transportation, accommodation, catering, and hospitality arrangements where required.

Team Leadership

  • Lead and coordinate volunteers, event coordinators, and cross-functional teams.
  • Organize planning meetings and ensure clear communication among all stakeholders.
  • Assign responsibilities and monitor execution across departments.
  • Mentor junior event team members and foster a culture of excellence and accountability.

Speaker & VIP Management

  • Coordinate speaker logistics and event schedules.
  • Manage VIP guests, government officials, sponsors, partners, and special invitees.
  • Ensure a smooth and professional experience for all speakers and guests.
  • Collaborate with the speaker curation team to support speaker readiness and event-day delivery.

Vendor & Partner Management

  • Source, negotiate, and manage relationships with vendors and service providers.
  • Coordinate contracts, deliverables, and service-level expectations.
  • Ensure quality control across all vendor engagements.
  • Work closely with sponsors and partners to fulfill activation and branding commitments.

Budget & Financial Management

  • Develop event budgets and financial forecasts.
  • Track expenses and ensure cost-effective utilization of resources.
  • Negotiate favorable pricing and value-added services from vendors.
  • Prepare post-event financial reports and recommendations.

Event-Day Execution

  • Serve as the primary operational lead during events.
  • Coordinate all event activities and troubleshoot issues in real time.
  • Ensure smooth coordination between production, logistics, volunteers, speakers, and partners.
  • Maintain high standards of attendee experience and operational excellence.

Monitoring, Evaluation & Reporting

  • Develop event success metrics and KPIs.
  • Collect attendee, sponsor, speaker, and partner feedback.
  • Prepare post-event reports, insights, and improvement recommendations.
  • Document lessons learned and best practices for future events.

Qualifications

Education

  • Bachelor's degree in Event Management, Project Management, Business Administration, Marketing, Communications, Hospitality, or a related field.
  • Master's degree or professional certification is an added advantage.

Experience

  • Minimum of 5–8 years of experience managing large-scale events, conferences, exhibitions, summits, or corporate events.
  • Proven experience coordinating events with 500+ attendees.
  • Experience working with sponsors, government stakeholders, media partners, and vendors.
  • Experience managing event budgets and multiple stakeholders simultaneously.
