The Team

Chesamel has a large team of marketing experts delivering on client projects across the globe, ranging from fully integrated and embedded consultancy to ad-hoc on demand project delivery. You will be joining a collective focused on delivering excellent client servicing while leading business transformation for our clients.

About the role:

This role will be responsible for managing event operations and logistics across the our clients Cloud EMEA ABM team. It will play a critical part in the successful execution of high-profile events.

The Project Event Coordinator will be responsible for the end-to-end coordination and logistics of approximately 25+ events, including workshops, preliminary meetings, and C-level engagements.

This position requires strong organisational skills, proactive communication, and the ability to manage multiple tasks simultaneously in a fast-paced environment. This is a busy team that requires a really proactive, organised person.

Core Responsibilities:

Project Management & Tracking (Core)

  • Maintain, update, and own all event trackers, templates, and resource repositories.
  • Manage rigorous follow-ups with sales teams, internal stakeholders, and customers to keep timelines on track.
  • Manage event scheduling, resource allocation, and budget tracking.
  • Process invoices and purchase orders related to event logistics.

Event Planning & Logistics

  • Plan all event aspects, including venue selection, catering, A/V setup, and materials.
  • Secure in-house event space (AV, security, room bookings) via internal booking systems.
  • Manage branded physical assets (banners, signage, badges, lanyards).
  • Collaborate with internal teams (sales, account, leadership) and external partners, including Brand Ambassadors, for seamless execution.

Content, Communication & AI Innovation

  • AI Content Creation: Produce customised countdown videos for each event utilising AI tools.
  • Social Media Collaboration: Work closely with the social team to coordinate, align, and execute post-event content.
  • Develop and execute event copy, content, and agendas (e.g., presentations, speaker sessions).
  • Create event materials (e.g., landing pages, invites, follow-up communications, and playbooks to enable partners to arrange their own events).
  • Provide presentation support, enhancing and polishing slides for enablement.
  • Proofread and quality-check localised copy for all event materials.
  • Communicate event details and logistics clearly to attendees (invitations, confirmations, reminders).

Audience & Stakeholder Management

  • Work with sales teams to identify, target, and invite key accounts.
  • Manage attendee RSVPs, track attendance, and liaise with sales on registration approvals.
  • Gather event requirements and ensure alignment on objectives with internal stakeholders and local marketing teams.
  • Build and maintain strong relationships with vendors, partners, and speakers.

Analysis & Reporting

  • Collect and analyse event feedback, data, and attendee metrics.
  • Measure event success and report on key performance metrics to leadership.

Nice to have skills / Qualifications:

  • Proven experience in event planning and administration, ideally in a B2B Tech space environment.
  • High proficiency in Google tools/workspace is required.
  • Experience navigating and utilizing Cloud-based platforms for collaboration, asset management, and tracking is essential
  • Excellent organisational and time management skills, with the ability to prioritise and manage multiple tasks simultaneously.
  • Mindset: A proven self-starter who is highly proactive, possesses strong initiative, and is fully capable of working independently with minimal supervision.
  • Project Management Skills: Exceptional organisational skills with a laser focus on maintaining trackers, managing timelines, and driving stakeholder follow-ups.
  • Strong communication and interpersonal skills, both written and verbal.
  • Experience working with cross-functional teams and external stakeholders.
