OPPORTUNITY OVERVIEW
Daley And Associates is recruiting on behalf of a well-established law firm in Boston's Seaport district for an experienced Office Services Coordinator to join their team on a contract basis. This individual will serve as the operational backbone of the office — maintaining a polished environment, supporting attorneys and staff, and ensuring day-to-day facilities and supply functions run seamlessly. This is a hands-on, highly visible role requiring a professional with strong organizational instincts, a service-first mindset, and the flexibility to support a dynamic legal environment.
KEY RESPONSIBILITIES
Facility & Vendor Management
- Maintain the professional appearance and organization of all office areas, including workstations, common areas, conference rooms, and the reception area.
- Ensure new attorney workstations are fully prepared prior to arrival — including proper IT hookups, adapters, monitors, and starter office supplies.
- Perform weekly refrigerator cleanouts to uphold kitchen hygiene standards.
- Manage ongoing relationships with building management, cleaning crews, and repair services.
- Coordinate nightly cleaning crew schedules and submit building work orders promptly when issues arise.
Administrative Support
- Serve as a welcoming point of contact for all office visitors; strengthen and elevate the firm's reception presence.
- Provide backup coverage for reception, filing, data entry, and light clerical tasks as needed.
- Assist with event planning, logistics, and on-site setup and breakdown.
- Compile and distribute the weekly Boston Office newsletter every Friday by 12:00 PM.
Supply & Inventory Control
- Monitor and maintain inventory levels for all office, kitchen, and restroom supplies; place orders proactively to avoid shortages.
- Coordinate weekly bagel orders — including delivery setup and post-service teardown.
- Unpack, organize, and restock supply closets and pantries each Monday.
- Oversee routine maintenance and servicing of office equipment, including printers, copiers, and coffee machines.
- Manage all office supply and catering orders through established vendors
QUALIFICATIONS & SKILLS
- Highly organized, detail-oriented, and proactive, with a professional demeanor suited to a legal environment.
- Ability to lift and maneuver heavy items — vendor deliveries, boxes, or furniture — typically up to 50 lbs.
- Flexibility to work overtime hours when operational needs require.
- Proficiency with Microsoft Office 365, including document saving, uploading, and general file management.
- Experience with Emburse/ChromeRiver for uploading invoices and receipts for expense reimbursement.
- Comfortable working independently in a fast-paced, professional setting with shifting priorities.
- Strong interpersonal and communication skills; ability to represent the firm professionally with visitors, vendors, and building management.
