A professional services firm is seeking an Office Manager to oversee operations at its Midtown headquarters.

About the Role

The Office Manager will act as the primary operational overseer for the firm’s Midtown office, ensuring smooth front-of-house and back-of-house functions. This role supports senior leadership and requires a proactive, detail-oriented individual who can manage vendor coordination, facilities, and administrative tasks. The office is about 15 employees onsite and sits at the front desk.

Responsibilities

  • Manage office operations including vendor coordination, facilities maintenance, and supply procurement.
  • Provide a welcoming front desk experience for high-level visitors and stakeholders.
  • 10-20% of the role is assisting with executive calendars and travel arrangements for two senior leaders.
  • Senior partners who meet with well known high profile executives are in and out of the office so discretion is very important.
  • Organize catering for meetings and maintain conference room scheduling.
  • Order office supplies, maintain pantry and kitchen stock, and log expenses accurately.
  • Ensure cleanliness and functionality of common areas, liaising with building management for repairs.

Qualifications

  • Bachelor’s degree preferred; equivalent experience will be considered.
  • Proven experience in a fast paced corporate environment (Investment Banking, Private Equity, or Top-Tier Law).
  • Comfortability sitting at the front desk in a 15 person office.
  • Full ownership of the role.
  • Experience working with high profile executives and being discrete and confidential as this supports 2 executives.

Required Skills

  • Proven experience in office management within fast-paced corporate environments such as investment banking, private equity, or law firms.
  • Strong organizational and multitasking skills with attention to detail.
  • Excellent verbal and written communication skills for interaction with senior leadership and external partners.
  • Ability to maintain confidentiality and discretion in all interactions.
  • Proficiency in managing calendars, travel logistics, and vendor relationships.

Preferred Skills

  • Experience supporting executives with scheduling and travel coordination.
  • Familiarity with managing office budgets and expense reporting systems.
  • Ability to anticipate operational needs and implement proactive solutions.
  • Strong interpersonal skills to foster positive relationships with internal teams and external vendors.
  • Comfort working in a dynamic, meritocratic environment with evolving responsibilities.

Pay range and compensation package $110,000–$140,000 depending on experience. This salary range reflects the role’s responsibility level, location in New York City, and the requirement for experience in fast-paced corporate environments such as investment banking, private equity, or law firms.
