We are seeking a highly organized and proactive Junior Event Coordinator to support the planning and execution of client-facing and internal events. This role will work closely with the Event Planner to coordinate logistics, manage vendors, and ensure seamless event delivery from planning through post-event follow-up.

KEY RESPONSIBILITIES
Event Planning & Coordination
- Support end-to-end execution of events (in-person and virtual), including seminars, client meetings, and regional events
- Assist in creating and managing detailed event timelines, checklists, and trackers
- Coordinate logistics such as venue setup, catering, AV, transportation, and materials
Vendor & Supplier Management
- Liaise with vendors (venues, catering, AV, printing, transportation) to confirm services and timelines
- Track contracts, invoices, and payment follow-ups
- Ensure all deliverables meet quality and brand standards
Operational Support
- Maintain attendee registration lists and track confirmations
- Support the preparation of event materials (agendas, name badges, signage, presentations)
- Assist in managing on-site execution, including registration desk and attendee experience
Administrative & Reporting
- Track event budgets and expenses in coordination with the Event Planner
- Organize documentation (invoices, contracts, post-event reports)
- Support post-event reporting, including attendance, feedback, and key metrics
Communication & Coordination
- Coordinate with internal stakeholders (sales teams, marketing, leadership) to ensure alignment
- Assist in drafting logistics emails and communications to attendees and vendors
- Proactively follow up on action items to keep projects on track
QUALIFICATIONS
- Bachelor’s degree in Hospitality, Event Management, Marketing, Communications, or a related field (or equivalent practical experience).
- Experience supporting premium, luxury, or high-end events is highly preferred
- 2 years of experience in event coordination, hospitality, or administrative roles
- Strong organizational skills and attention to detail
- Excellent communication skills in English and Spanish
- Ability to manage multiple tasks and deadlines in a fast-paced environment
- Proficiency in Microsoft Office (Excel, PowerPoint, Outlook)
Professional Presence
Excellent personal presentation and professional demeanor are required, particularly when interacting with clients, senior stakeholders, and during on-site event execution.
