Job Description
Position: Facilities Assistant – Wolveridge
Reporting to: Facilities Supervisor
Location: No. 6 Kildare Street
Contract: Permanent
Salary: €33,000
Working week: 40 hours

The position is part of Wolveridge Limited, a subsidiary company of RCPI.
Post Summary
The Facilities Assistant role is primarily based in our heritage building No.6 Kildare st which contains our accredited museum. The role provides support across this building, and our administrative offices, for meeting and conferences including room and Audio Visual set up and small catering requirements. The role supports routine checks across our buildings, maintaining services, escalating issues and organising stock supplies. The Facilities assistant provides support to our Heritage department though monitoring our collections throughout the building and assisting with the moving and safe handling of items. The Facilities assistant will be trained to be a member of our disaster response team to respond to any adverse events that may threaten the collections.
Standard Duties of the Post
The Facilities Assistant reports to the Facilities Supervisor and works closely with staff in all departments across RCPI in addition to working with external clients and caterers.
The role requires smart attire and appearance. Work patterns may vary and will be rostered to fit with the needs of the business and schedule of events.
Duties will involve, but are not limited to:
- Conduct building open and lock up procedures.
- Configure meeting and conference rooms across campus and coordinate catering requirements.
- Ensure all conference rooms and facilities are ready for use with sufficient supplies in place.
- Provide cover for reception as needed.
- Set up audio visualequipment asrequired.
- Plan and schedule activities in line with business requirements and keep informed of changes to events schedule.
- Support fire safety activities such as building evacuations and appropriate useof PPE.
- Support andassistour Heritage department in the movement and maintenance of our collections
- Assist the Heritage department with exhibition install
- Conduct general maintenance and light repair work as required.
- Assist with monthly building inspections, report on findings, escalate issues and the support programme of works to address any items of concern.
- Maintain stock of cleaning,stationaryand catering supplies; accept deliveries and ensure all purchases are made in line with company procedure.
- Conduct daily post requirements (internal/external) and bank lodgements. Coordinate bulk post arrangements asrequiredand ensuretimelydelivery of post to the post officeon a daily basis.
- Carry out light housekeeping duties as required
- Carry out other tasks from time to time that are commensurate with the role
Requirements
Person Specification
- Be able to work on own initiative
- Excellent communication, presentation and interpersonal skills combined with exceptional organisational skills with good attention to detail is essential
- Comprehension of technical requirements for IT set up in event rooms
- Ability to plan and manage work under time constraints
- Previous experience in a similar role is desirable
