Key Responsibilities

Executive Support

  • Manage complex calendars, appointments, and scheduling priorities.
  • Coordinate internal and external meetings across multiple stakeholders and time zones.
  • Anticipate scheduling conflicts and proactively identify solutions.
  • Prepare correspondence, reports, presentations, and meeting materials.
  • Maintain confidential information with the utmost discretion.

Travel & Logistics

  • Coordinate complex domestic and international travel arrangements.
  • Manage itineraries, reservations, transportation, and travel-related logistics.
  • Monitor travel schedules and assist with travel changes or disruptions as needed.
  • Support executive travel planning before, during, and after trips.

Meetings & Events

  • Coordinate meeting logistics, including conference rooms, catering, visitor access, and presentation materials.
  • Assist with departmental events, leadership meetings, and town hall programs.
  • Support conference attendance, memberships, and business organization involvement.
  • Manage event-related communications and administrative follow-up.

Financial & Administrative Support

  • Prepare and process expense reports and reimbursements.
  • Coordinate with internal teams regarding invoices and payment processing.
  • Maintain organizational charts, contact lists, records, and administrative documentation.
  • Assist with reporting, data entry, and special projects.

Office & Team Support

  • Serve as a reliable administrative resource for executives and business teams.
  • Help drive operational efficiency through strong organization and follow-through.
  • Support ad hoc initiatives and departmental projects as needed.

Qualifications

  • 5+ years of Executive Assistant experience supporting senior leaders within a corporate or professional services environment
  • Experience managing complex calendars and scheduling
  • Experience coordinating domestic and international travel
  • Experience preparing and processing expense reports
  • Strong proficiency in Microsoft Outlook, Word, Excel, and PowerPoint
  • Experience working within a fast-paced, high-performance environment
  • Exceptional organizational and communication skills

Work Environment: Hybrid schedule with a minimum of four days per week onsite in Washington,

DC.
