About The Role
Our top tier investment client are seeking a highly organized, proactive, and trustworthy professional to provide seamless support across both business and personal domains. This hybrid role requires approximately 50% executive assistant duties supporting day-to-day business operations, and 50% personal assistant duties supporting the executive and their family. The ideal candidate is adaptable, discreet, and capable of managing multiple priorities with a "can-do" attitude.
Key Responsibilities
Executive Assistant
- Provide full spectrum of secretarial and administrative support to the executive, including calendar management, meeting coordination, and email correspondence.
- Arrange complex domestic and international travel itineraries, including flights, accommodation, visas, and ground transportation.
- Prepare, format, and proofread reports, presentations, meeting agendas, and other business documents.
- Manage expense reporting, invoice processing, and reimbursement submissions.
- Coordinate internal and external meetings, including logistics, catering, and document preparation.
- Liaise with internal departments and external partners professionally.
- Maintain confidential and organized filing systems (physical and digital).
- Support ad-hoc business projects as needed.
Personal & Family Support
- Manage personal calendars, including appointments, social engagements, and family activities.
- Coordinate household matters, including vendor management (e.g., domestic helpers, drivers, contractors), bill payments, and maintenance schedules.
- Arrange personal travel, including family vacations, dining reservations, and event tickets.
- Assist with school administration tasks (e.g., liaising with schools, arranging extracurricular activities, transport for children).
- Run personal errands such as shopping, gift purchasing, and delivery coordination.
- Assist with visa applications, passport renewals, medical appointments, and insurance claims.
- Support family events and private gatherings as needed.
- Handle other ad-hoc personal requests with discretion and efficiency.
Qualifications
- Minimum 8 years of experience in a combined EA/PA or similar dual-support role.
- Experience supporting C-level executives and their families is highly preferred.
- Prior experience in a fast-paced, multinational, or family office environment is an advantage.
- Excellent organizational and time management skills, with the ability to prioritize and multitask.
- Strong written and verbal communication skills in English, Cantonese, and Mandarin (fluency required).
- High level of discretion, confidentiality, and trustworthiness.
- Proactive, resourceful, and able to anticipate needs.
- Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and scheduling tools.
- Experience with expense management systems (e.g., Concur) is a plus.
- Ability to work independently and remain calm under pressure.
- Flexible and adaptable to changing schedules and last-minute requests.
- Detail-oriented with a “can-do” attitude.
- Mature, patient, and emotionally intelligent.
- Comfortable working in a close-knit environment with family members and household staff.
