A global investment firm in NYC is seeking an Executive Assistant to support their Investor Relations team. This is a challenging yet interesting position that allows direct impact at the highest level, working in a collaborative team environment. Candidates need to have prior experience supporting an investor relations team.
This role is on-site five days per week
Hours 8:30 am – 5:30 pm, with overtime needed on occasion
Salary: $130-150K plus bonus
Responsibilities:
- Provide high-level administrative and project-based support to Investor Relations and Finance teams in a dynamic, client-facing environment.
- Support multiple senior leaders, managing complex calendars and coordinating across time zones.
- Handle sensitive information with discretion and professionalism, ensuring confidentiality at all times.
- Collaborate on operational and project-based activities, including due diligence coordination and investor communications.
- Prepare and review presentation materials and investor-facing documents with attention to detail.
- Maintain accurate contact lists, distribution groups, and fund-focused data rooms.
- Manage complex calendars, ensuring seamless scheduling and coordination.
- Coordinate internal and external meetings, including logistics such as room booking and catering.
- Arrange business travel and process expense reports in compliance with firm policies.
- Track and distribute capital call reminders and investor communications promptly.
- Provide backup support for other Executive Assistants during absences.
- Collaborate with internal teams to ensure timely delivery of information and materials.
Requirements
- Bachelor’s degree required, preferably in a related field.
- Minimum of 5 years of experience in executive or administrative support roles, ideally in financial services.
- Proficiency in Microsoft Office Suite, including Outlook, Word, PowerPoint, and Excel.
- Strong organizational and time-management skills with the ability to prioritize competing deadlines.
- Excellent written and verbal communication skills, with a professional demeanor.
- Proactive mindset with sound judgment and discretion in handling confidential information.
