We are looking for a dynamic and organized Events & Client Engagement Coordinator to join our team. In this role, you will be responsible for planning, coordinating, and executing a variety of events that engage our clients, enhance relationships, and elevate our brand presence. You will also play a key role in ensuring a seamless client experience before, during, and after each event. 🎯 Key Responsibilities
- Event Planning & Coordination: Plan, organize, and execute a variety of events, including client meetings, conferences, trade shows, webinars, and networking events. Ensure that each event aligns with company goals and delivers value to clients.
- Client Engagement: Develop and maintain strong client relationships through personalized engagement initiatives, ensuring their needs are met and fostering loyalty.
- Vendor & Logistics Management: Coordinate with vendors, venues, and suppliers for event materials, catering, technology, and logistics. Ensure all aspects of event setup, execution, and teardown are managed smoothly.
- Marketing & Communication: Work with the marketing team to create promotional materials for events, including invitations, agendas, social media posts, and email campaigns. Communicate event details to clients and internal teams in a timely manner.
- Budget Management: Assist in managing event budgets, ensuring cost-effective spending while maintaining high-quality experiences for clients. Track expenses and provide post-event cost reports.
- Event Promotion: Drive attendance and client participation in events through effective outreach and marketing strategies. Track RSVP lists, monitor event registration, and ensure high engagement.
- On-Site Event Support: Be on-site during events to provide logistical support, troubleshoot issues, and ensure a seamless client experience.
- Feedback & Reporting: Gather client feedback after events, assess success, and generate post-event reports to evaluate impact and identify areas for improvement.
- Collaboration: Work closely with internal teams (sales, marketing, customer service) to ensure event content, messaging, and follow-up are aligned with company goals and client expectations.
✅ Requirements
- Proven experience in event planning, client engagement, or in a similar role within a corporate or client-facing environment.
- Strong organizational skills and the ability to handle multiple events and tasks simultaneously.
- Excellent interpersonal and communication skills, with the ability to build rapport with clients and internal teams.
- Experience managing event budgets and coordinating logistics, including vendor management.
- Ability to think creatively and solve problems quickly to ensure successful event execution.
- Proficiency in Microsoft Office Suite and event management tools (e.g., Cvent, Eventbrite).
- A customer-first mindset with the ability to anticipate client needs and deliver exceptional service.
- Strong attention to detail and commitment to delivering high-quality events.
- Ability to work independently and as part of a team in a fast-paced environment.
- A Bachelor’s degree in Event Management, Marketing, Communications, or a related field (or equivalent experience).
- Prior experience in coordinating virtual or hybrid events is a plus.
