Role Description
The Event Producer is a full-time, hourly position with an in office role located in Danville, CA, and onsite event role in and around the San Francisco Bay Area.
Ideal Candidate has the following qualities:
· Experience in the Catering business
· Candidates should possess the ability to work flexible hours, including evenings and weekends, and perform the physical tasks required for event setup.
· Computer Skills (Proficient in Microsoft programs, Canva, Prismm, and more)
· Management experience
· Responsiveness
· Self-Driven and Growth focused
· Ability to own the job and think through precise details
· Able to work independently
· Bilingual in Spanish a plus
Employee Job responsibilities
Event management
· Engage with client when introduced through post-event wrap up
· Manage production sheets for supply needs. This includes bar, food details, and specific vision.
· Explore all current venues where we are on the preferred caterer’s list as well as develop venue relationships where we are focused to become a preferred caterer.
Develop solid relationships
Familiarize yourself with all event space, load in, & load out policies & procedures, electrical and kitchen needs
· Support all social media accounts on Instagram, Facebook, and Pinterest.
Client Coordination
· Schedule yourself with site visits.
· Complete and oversee all production sheets including day of list on clip board
· Managing Priorities.
· Design table scape, pack and organize for van loading with operations producer
· Floor plan creation and space planning needs outlined for each event
· Organize Staff planning with event detail
· Organizing Staff assignment detail according to timeline of event
· Locate resources that correspond to client needs when special orders arise.
· Ensure kitchen equipment needs are communicated to ensure food execution
· Communicate all event detail needs to operations such as food allergies, special menu requests, final guests count.
Onsite Event management
· Create a staffing plan to include positioning of staff in specific roles and detail timelines.
· Manage all aspects of the client relations while on-site: Exhibit hospitality and forethought to ensure white glove service. Maintain client confidence and morale, ensuring client comfort and exceeding their expectations.
· Oversee effective load in and load out with staff
· Manage 30-minute break times timely according to labor laws
· Lead staff meeting prior to event with event overview of tine lines and positioning.
· Communicate all call out details during production meetings for all to learn and beware.
