As Sharon AI continues to grow, we are looking for a highly organised and proactive Event Coordinator to support the planning, coordination and delivery of a range of internal and external events across the business.
This is a hands-on role responsible for coordinating logistics, managing suppliers and ensuring events run smoothly from start to finish. Working closely with internal teams and external partners, you will help ensure Sharon AI is professionally represented across industry conferences, partner events, client engagements and internal functions.
The role is ideally suited to someone who thrives in a fast-paced environment, enjoys managing multiple moving parts and takes pride in delivering high-quality experiences and seamless event execution.
What You’ll Be Doing
- Coordinate and support the delivery of external events including industry conferences, client functions and partner engagements
- Manage end-to-end event logistics including venue research, site visits, venue bookings, catering, travel and accommodation
- Liaise with suppliers, vendors and venues to coordinate event requirements and ensure successful delivery
- Prepare detailed run sheets, timelines and event schedules to support smooth execution
- Work closely with internal stakeholders to understand event objectives and provide coordination support where required
- Maintain and manage event calendars, ensuring key dates, deadlines and milestones are tracked and communicated
- Manage attendee communications including invitations, RSVP tracking and event reminders
- Assist with tracking event budgets, invoices and event-related administration
- Support internal team events and office functions as required
- Provide on-the-day support during events and assist with troubleshooting any issues that arise
What We’re Looking For
- 1–3 years’ experience within events, hospitality, coordination or administrative roles
- Strong organisational and time management skills with the ability to manage multiple priorities simultaneously
- Excellent attention to detail and ability to deliver work to a high standard
- Clear and professional communication skills, both written and verbal
- Ability to work effectively in a fast-paced and evolving environment
- Proactive, reliable and solutions-focused approach
- Strong coordination and planning capability
- Comfortable working collaboratively across internal teams and external stakeholders
- Relevant qualification in Events, Hospitality, Marketing or a related field highly regarded
