Role Summary

This fixed-term, full-time role (05 May 2026 – 27 November 2026) supports the planning and delivery of a range of online and in-person events. The position focuses on coordinating tutors, managing communications with schools and clients, overseeing event logistics, and ensuring smooth delivery during live sessions.

The role also involves assisting with out-of-hours events where required, contributing to major company events, and occasionally supporting related coordination tasks across teams. Some travel to in-person events in London and beyond may be required. The ideal candidate is highly organised, detail-oriented, and confident managing multiple tasks in a fast-paced, event-focused environment.

Responsibilities

Programme/Event Delivery

  • Ensure out-of-hours events are appropriately staffed (if relevant)
  • Optimise events for efficiency and private support lead generation
  • Support planning and delivery of online and in-person events, including:

o  Tutor hiring and communications

o  School / client communications where required

o  Checking tutor invoices and cost management

o  Uploading students where needed to our online platform, CANVAS

o Introducing events via a live welcome presentation and being ‘live’ while an event takes place

Additional Responsibilities

  • Flexibility to adapt to changing priorities and tasks, such as supporting with tutoring coordination where capacity allows
  • Occasional cross-consultancy tasks and event support required
  • There may be requirements to go to in-person events in London and beyond
  • Work and support organise Oxbridge Applications’ major events when needed (Premier Day 13.09.26 + Oxbridge Preparation Course 29.10.26-01.11.26)

Preferred Experience:

  • Event Planning Experience: Proven experience coordinating or supporting events (e.g. conferences, corporate functions, virtual events, or community programs).
  •  Project Management: Ability to manage timelines, budgets, and logistics from concept through to delivery.
  • Strong Communication Skills: Both written and verbal communication for liaising with clients, vendors, and internal teams.   
  • Attention to Detail: Strong organisational skills and the ability to juggle multiple tasks without missing deadlines or details.
  • On-Site/Event-Day Coordination: Experience being the point of contact and problem-solver during live events.

Salary: £29,000 pro rata

Working Schedule: 9am – 5:30pm, Monday- Thursday and 9am – 5pm on Fridays. Some weekend and evening work may be required, but you will know dates for this well in advance and be given time off in lieu.

Location: Hybrid working with 2-3 days in our central London office and 2-3 days from home.

Start date: 5th May 2026
