Overview

Thema is supporting and investing in Europe’s next generation of venture capital firms. Through Thema Invest, we act as a first-ticket cornerstone LP in emerging European fund managers, providing catalytic capital alongside a broader platform of regulatory, operational and fund-building support through Thema Support. We are a fast-moving team operating at the intersection of investment, regulation and fund operations.

We are seeking a highly organised and personable EA & Operations Manager to keep the team running smoothly and support the senior team across diary management, correspondence, investor relations activity, recruitment, events and office operations. This is a varied, hands-on role that will touch every part of the business. The right person will take genuine ownership of their responsibilities, work with pace and precision, and be comfortable operating in an environment where priorities shift quickly. The role has scope to develop into a specialised role across the wider firm.

Key Responsibilities:

Diary & Schedule Management

  • Manage and coordinate diaries for senior team members, including scheduling meetings and calls
  • Own the proactive management of competing priorities, ensuring the founding team’s time is protected and well-allocated
  • Book review meetings and catch-ups for staff, maintaining a clear forward schedule

Administrative Support & Correspondence

  • Draft, review, and send correspondence on behalf of senior team members, maintaining a consistent and professional tone
  • Prepare, format, and proofread documents including reports, memos, presentations, and briefing materials
  • Manage incoming correspondence and act as a first point of contact where appropriate

HR/ Governance

  • Schedule review meetings
  • Plan company offsites
  • Oversight on HR software
  • Aid in the recruitment process such as interview scheduling

Meeting Preparation & Documentation

  • Prepare agendas, briefing packs, and supporting materials in advance of meetings
  • Take and distribute action logs following key meetings
  • Track follow-up actions and chase outstanding items to ensure nothing falls through the gaps

CRM & Internal Tool Management

  • Support the maintenance and upkeep of the CRM system, ensuring contact records, pipeline data, and interaction logs are kept current
  • Help manage internal workflows and documentation systems, identifying opportunities to improve consistency and efficiency
  • Provide basic reporting and data pulls from internal tools as required by the team

Social Media Management

  • Assist with the scheduling and management of social channels
  • Support the drafting of posts and content aligned to the firm’s voice, covering fund announcements, portfolio updates, and market commentary
  • Monitor engagement and flag relevant industry content to senior team members

Event Management

  • Lead on the planning and coordination of Thema events
  • Manage venue sourcing, invitations, attendee logistics, catering, and on-the-day coordination
  • Maintain a forward events calendar and ensure the team has adequate preparation time

Contracts & Service Agreements

  • Support the completion of service agreements, NDAs, and standard commercial contracts
  • Maintain a contracts register, tracking key dates such as renewal, inflation and expiry

Qualifications

  • 2 to 4 years of experience in an EA, PA, team assistant or office management role
  • Prior experience working in a fast-paced or high-expectation environment
  • Familiarity with AI tools and digital tools (Claude, ChatGPT, Base44, or similar)
  • Comfortable working with confidential and commercially sensitive information
  • Prior exposure to financial services, professional services, or an early-stage firm environment is advantageous but not essential
  • Exposure to basic investor communications or events coordination is desirable
  • What matters most is attitude, attention to detail, and the ability to manage competing priorities without losing composure

  • Clear and confident written communication, capable of drafting professional correspondence independently. We value independent thinking and the ability to work through problems with your own judgement
  • Discretion and sound judgement when handling sensitive information
  • A proactive, ownership-driven mindset: you spot problems before they become issues
  • Comfortable operating in an environment where priorities evolve and roles are not rigidly defined
  • Competence with social media platforms, particularly LinkedIn
  • Ability to build strong working relationships across a small, senior team
  • A genuine interest in learning about venture capital is welcomed
