Role Summary

We are seeking an experienced Conference and Events Office Manager to join the Derby Conference Centre. This role requires the manager to lead the team and ensure the office is performing to best-in-class levels. In addition, a key goal of this role is to achieve venue budgets by conversion of inbound enquires, maintaining and growing existing assigned client accounts through account management, along with ensuring that client requirements are met and exceeded. Effective communication at all levels is key to achieving success, especially when collaborating with the Operations function. Join us in delivering excellence in hospitality and event management.

Duties and Responsibilities

· Deliver and demonstrate effective leadership, responsibility and accountability.

· Demonstrate the highest standard of professionalism through appearance and positive attitude.

· Ensure the team are completing daily tasks and all procedures are followed from enquiry stage to post-event invoicing and feedback.

· Handling incoming Conference and Events enquiries professionally and efficiently and to company standard.

· Successfully converting enquiries through correct enquiry handling, chasing, negotiation and follow-up.

· Produce quotations and booking forms.

· Ensure the team produce accurate function sheets and communicate at the weekly function sheet meeting.

· Track competitor activity with the support of Marketing, ensuring that the information is used to keep the DCC ahead of the competition.

· Plan, prioritise and manage time efficiently to ensure the customer receives an excellent customer journey and deadlines are achieved.

· Keep the forecasting tracker, enquiry log, invoice log, company tabs, monthly reports, and all other documents up to date, all information is accurate.

· Chair Weekly Sales, and Forecasting meeting.

· Carry out daily invoicing, producing accurate invoices that are sent in a timely manner, adhering to the company credit policy.

· Ensure booking systems are up to date, and all information is accurate and correct.

· Pro-active sales calls when required, five cold calls per week by each Sales Executive and motivate the team to undertake.

· Demonstrate flexibility to meet evening and weekend customer demands where necessary.

· Identify any potential sales opportunities and work with General Manager to convert and grow existing accounts in line with sales plan, account management plan and KPIs.

· Contribute to the ideas around sales and marketing activity.

· Ensure client requirements, including updates, are clearly communicated to relevant departments in a timely manner.

· Conduct show rounds to company standard in a professional and hospitable manner to new and existing clients, ensuring all resources are used to communicate and promote the DCCs services, facilities, and capabilities to win the business.

· Support the General Manager in planning, programming, and marketing of DCC events to maximise revenue.

· Nurture leads and existing clients, ensuring all opportunities are taken to promote products to enable us to maximise revenue.

· Operate in line with all the Sales Office policies, processes, and procedures.

· Keep up to date with customer needs and competitor activity to demonstrate professionalism and quality of personal knowledge to the customer.

· Ensure appearance is maintained to the highest standard and in accordance with Sales Office house rules.

· Promoting an energy efficient culture throughout the venue and minimising waste.

· Comply with the company Health and Safety policies and duties under the Health and Safety at Work Act and other statutory requirements.

· Report any fault and hazard, which may affect Health and Safety and the reputation of the DCC to a manager.

· Carry out any reasonable request from the General Manager.

· Perform any other duties, which may be reasonably requested to ensure the business needs are met.

Qualifications

  • Proven experience in 3/4* hotel, hospitality, conference management, or event planning essential.
  • Strong organizational skills with the ability to multitask effectively.
  • Understanding of diary yield, revenue maximisation, sales conversion techniques.
  • Attention to detail.
  • Excellent communication and interpersonal skills.
  • Ability to work well under pressure.
  • Demonstrated ability in upselling and revenue enhancement.
  • Leadership skills with experience managing a team.
  • Knowledge of health and safety regulations relevant to hospitality venues.
  • A passion for delivering outstanding guest experiences.
  • Good time management and reliable.
  • Flexible and punctual.

Pay: £30,000.00-£34,000.00 per year
