Key Responsibilities

Building Maintenance & Operations:

  • Coordinate with building maintenance staff and external contractors for repairs and upkeep.
  • Oversee building systems (HVAC, elevators, lighting, etc.) and ensure they are functioning properly.
  • Monitor the condition of common areas and schedule regular inspections.

Facility Management

  • Manage the allocation of spaces, including offices, meeting rooms, and event spaces.
  • Ensure that all office equipment and furniture are well-maintained.
  • Coordinate regular cleaning and sanitation services for the building.

Vendor And Contractor Liaison

  • Maintain relationships with vendors and service providers (e.g., cleaning, landscaping, security).
  • Oversee vendor contracts, ensuring compliance with terms and timely service delivery.

Health & Safety Compliance

  • Ensure building meets health, safety, and environmental standards.
  • Organize and monitor fire drills, first aid training, and other compliance-related activities.

Budget & Cost Control

  • Assist in preparing and managing building-related budgets, tracking expenses.
  • Ensure cost-effective and efficient operations related to building maintenance.

Tenant And Staff Communication

  • Act as the primary point of contact for building tenants or residents, responding to inquiries and resolving issues.
  • Distribute memos, notices, and updates regarding building activities, repairs, or safety concerns.

Event Coordination

  • Assist with organizing and coordinating internal or tenant events, meetings, and conferences.
  • Ensure all logistical aspects are managed, including room bookings, catering, and equipment setup.

Documentation & Reporting

  • Maintain accurate records of maintenance requests, repairs, building inspections, and safety checks.
  • Prepare regular reports for senior management on building operations, incidents, and ongoing projects.

Education

  • Bachelor's degree in Facilities Management, Business Administration, or a related field (preferred).
