About The Role

The Administrative Support Associate (IC20) position is a vital role within Pearson’s Enterprise Learning & Skills division, supporting two senior leaders. This role is responsible for providing reliable, high-quality administrative and coordination support to ensure the smooth functioning of daily operations. The successful candidate will manage complex calendars, coordinate meetings and travel arrangements, maintain key documentation, and serve as a central point of contact for operational needs. The role requires a highly organized, service-oriented individual who thrives in a fast-paced, evolving environment. The position offers an excellent opportunity to develop administrative expertise while supporting leaders in a dynamic, global organization. The role is based in the United States, primarily supporting leaders in the Eastern or Central Time Zone, with flexibility for remote work and periodic in-office presence.

Qualifications

  • Relevant experience in administration, office coordination, or business support
  • Experience supporting senior leaders and teams, managing calendars and stakeholder communication
  • Strong organizational skills and attention to detail
  • Excellent written and verbal communication skills
  • Proficiency with Microsoft 365 tools (Outlook, Teams, Word, Excel, PowerPoint, SharePoint)
  • Ability to handle confidential information with discretion
  • Adaptability and resilience in a changing environment
  • Proactive problem-solving skills
  • Experience supporting global teams and coordinating across time zones is preferred

Responsibilities

  • Provide day-to-day administrative support to two senior leaders, ensuring tasks are completed accurately and promptly
  • Maintain and update distribution lists, organizational charts, team folders, and shared resources
  • Serve as a primary contact for routine inquiries, triaging requests and redirecting as needed
  • Manage calendars and schedule internal and external meetings across multiple time zones
  • Coordinate meeting logistics, including invitations, agendas, pre-reads, room/virtual setup, and follow-up actions
  • Monitor and resolve scheduling conflicts proactively, suggesting alternative options
  • Support team activities such as workshops, town halls, and onboarding by tracking logistics and follow-ups
  • Prepare and format materials like slide decks, team communications, and status summaries using templates and leadership guidance
  • Utilize Microsoft 365 tools to manage schedules, files, and communications efficiently
  • Maintain organized digital files and ensure proper version control for key documents
  • Coordinate domestic and international travel arrangements, including flights, hotels, ground transportation, and agendas
  • Prepare and submit expense reports and purchase requests in compliance with company policies
  • Support onsite and offsite logistics, including room bookings, catering, and visitor access
  • Collaborate with other administrative professionals and stakeholders to coordinate schedules and events
  • Build and maintain effective working relationships across functions, ensuring professionalism and confidentiality
