About The Role

Gillette Children's is seeking a detail-oriented and proactive Administrative Assistant II to support the Nurse Help Line and Care Management departments. This position offers a primarily remote work environment with scheduled on-site training or events, requiring the candidate to reside in Minnesota or Wisconsin and be able to work onsite in St. Paul, MN as needed. The role involves providing comprehensive administrative support to ensure the smooth operation of departmental activities, facilitating effective communication, and maintaining organized records and documentation. The Administrative Assistant II will serve as a key point of contact for internal staff and external stakeholders, delivering excellent customer service and assisting with a variety of clerical and operational tasks. This role is integral to supporting high-quality patient care, especially for patients with complex conditions, by ensuring efficient office workflows and effective teamwork across departments.

Qualifications

  • Minimum of two years related office experience
  • Administrative or Microsoft certification (preferred)
  • Post-secondary education relevant to the position
  • Previous experience in similar departmental settings
  • Proficiency with department-specific software applications
  • Excellent customer service, organizational, and communication skills
  • Ability to problem-solve and independently address customer concerns
  • Typing speed of at least 45 words per minute
  • Intermediate skills in Microsoft Word, Excel, and PowerPoint (testing required)
  • Experience with email management and scheduling
  • Proficient in operating office equipment such as copy machines, fax machines, and multi-line telephones
  • Ability to maintain confidentiality at all times
  • Exceptional punctuation, grammar, and proofreading skills
  • Strong attention to detail
  • Knowledge of medical terminology relevant to patient care, Quality Improvement, and Research departments

Responsibilities

  • Provide administrative support and office coordination for the Nurse Help Line and Care Management departments to ensure operational efficiency
  • Create, compose, and design reports, letters, spreadsheets, presentations, minutes, forms, and correspondence with accuracy and professionalism
  • Type various materials and complete documents efficiently and accurately
  • Collect, organize, and maintain manual and computerized data and records
  • Utilize internet, intranet (Vibe), and other online resources to gather information and support departmental needs
  • Order supplies, manage inventory, and coordinate catering for departmental events
  • Coordinate repair and maintenance of office equipment to ensure continuous functionality
  • Organize and distribute mail and other communications effectively
  • Track and monitor information such as training records, financial data, schedules, and performance reviews
  • Schedule and coordinate meetings, conferences, and events, including arranging conference room setups and audiovisual equipment
  • Provide exemplary customer service by answering phones, routing calls, taking messages, and handling inquiries professionally
  • Assist visitors courteously and efficiently
  • Coordinate and execute various departmental projects independently
  • Provide backup support to team members as needed to ensure departmental continuity
  • Participate in professional development activities to enhance skills and knowledge
  • Complete annual education requirements and adhere to organizational policies and procedures
